Supplying Content

Before we start your web design project, we determine and agree on how many pages are required for your website. This is called a ‘Sitemap’. Should you need to add more pages, categories or functionality to your site other than those supplied to you in an agreement, you will be supplied with a revised quote to cover of the work.

It is your responsibility to supply all web page information, content and images by the agreed date unless it is specified that we will do it for you. Late submission of information, content and images may affect the website completion date but it does not affect the Final Payment due date listed in the agreement supplied to you.

Content supplied after the completion date will be entered into the website as and when it is convenient to do so and may be charged at $80 per hour.

No additional pages may be added during the website build outside the agreed scope of work known as the Sitemap.

Fees and Dates

Fees and payment dates are supplied to you in an agreement and agreed upon before we commence work on your website design. 

Credit Terms

Invoices must be paid by the due dates listed in the agreement.

In agreeing to use Pixelfire services, (the client) agrees to make full payment of the due amount within seven days dated on the invoice. Late payments will incur a charge of 5% interest on the outstanding balance for every day payment is not met. Your website will be made ‘live’ once final payment is received.

Cancellation fee

Cooling off period and cancellation costs from receipt of deposit:

All payments for services & products under $1000 are not negotiable and non-refundable.

Payments for services & products over $1000.

  • Up to 2 Days: Cooling off period. Refund minus $250 if you change your mind.
  • Day 3 to Day 7: Refund minus $500 if you change your mind.
  • Day 8+: Refund minus $1000 plus any expense costs if you change your mind due to the time and work spent on your project.

Cancellations after day 14 forfeits all and any payments made to Pixelfire to account for the time, expenses and work put into your website.

Pixelfire own all designs, code and content until the final payment has been made. Once final payment has been made we will then share all rights to the design work so we can use your website design in the promotion of the Pixelfire business.


Additional amends apart from those agreed in this contract are subject to the charge of $80 per hour. Other cost such as purchase of images, plugins etc.. are passed onto you (the client). You (the client) will be notified before any work is carried out and written email approvals requesting and agreeing to the additional work and cost will be required before the work will be done.

Source of Materials

All materials for this project are to be sourced and provided for, by you (the client) unless it is agreed we will do it for you. Images need to be good quality and fit for purpose and high resolution if for print. Images supplied to Pixelfire by you (the client) should be owned by you (the client) and you (the client) should own the copyright for those images.

Pixelfire can search images for you. All images purchased for the design of any collateral will be charged to you (the client) and added to your final bill. No images will be bought without consultation and approval for the image purchase.

Ongoing support

If an issue arises Pixelfire will resolve the problem as quickly as possible. If after website handover an issue occurs Pixelfire will do their best to resolve the issue for free but if it appears it my take some time to put the issue right Pixelfire will charge $80.00 per hour. This kind of work will be agreed upon before Pixelfire proceed with any amends etc.

Website support is only provided for our customers who have their websites are hosted on our servers. If you decide to move your site away from Pixelfire to another hosting provider we can no longer provide you website support.

We do not provide instructions or assist in moving your site from our servers to other hosts.

Pixelfire Promotion and Credits

Pixelfire reserves the right to add our website address (www.pixelfire.com.au) and logo to all types of media we design/produce for you (the client). The only instance where Pixelfire does not add its website address or logo is on Stationery design produced for the client. These items include Letterheads, Compliment Slips and Business Cards.

Design & Artwork Ownership

In signing this document, You (the client) agree to pay Pixelfire for design/artwork to be created for your company. It is the policy of Pixelfire that we and you (the client) will share ownership of all artwork files once the final payment has been paid. Until that point Pixelfire retain the sole rights and complete ownership of any working files.

Pixelfire retains the right to use preliminary designs as well as samples of the completed project in future marketing materials (such as our gallery), design competitions, or any other uses.

If the project is cancelled at any point, Pixelfire retain total rights to any artwork created and can use that artwork for any purpose we see fit.

Pixelfire does not accept any responsibility what-so-ever in any issues relating to any disputes that may arise caused by the design, image use, copyright or wording of your project and will not pay any indemnity to any third parties should the work Pixelfire create for you (the client) comes into question in court.

Any legal costs arising from a dispute relating to your collateral that Pixelfire has created for you (the client) infinitum are totally the responsibility of you (the client).

Website Design Guarantee

6 Month Fix It Free Guarantee - On handover, your website is guaranteed to work as agreed for 6 months. Should your website stop working due to an error on our behalf, we will fix the issue at no extra cost.

Website Design - Before your site is built, we provided visual designs to illustrate how your site will look on a desktop computer. All of our sites are designed to be responsive which means the website layout will adapt to fit the browser device window such as iPhone or iPad. The only exception to this rule is the Internet Explorer browser which doesn’t recognise responsive web design and will display your site as a regular website.

No Hidden Fees - We provide all costs up front. Future operating system upgrades and extension upgrades usually form part of our Web Admin Package which costs $240 for a four hour block. Website maintenance such as operating system and extension upgrades should be carried out every 6 six months and are done so at your request. Some extension upgrades may need to be purchased specifically for your site. If this is the case you will be notified first.

Website Life - Your website will be built for the latest version of the Joomla Content Management System. Joomla and its extension developers periodically release upgrades to improve functionality and improve security issues. Due to the nature of Joomla’s Open Source operating system and third party extensions constantly being upgraded we cannot guarantee operating system & extension updates will be available for your website.

It is recommended that you renew your website every 2-3 years to ensure you are using the latest operating system and extensions. This would also allow for a re-evaluation of your sites content, purpose & SEO strategy.
